Position summary

WCGTX is seeking an Office & Administrative Coordinator to keep provider schedules accurate, coverage complete, and teams informed across a multi-site healthcare staffing operation. This role combines daily scheduling ownership with responsive office and onboarding support.

You will coordinate schedules for physicians and advanced-practice providers, communicate changes, resolve coverage gaps, and support related travel, reporting, and administrative logistics.

Responsibilities

  • Build, maintain, and distribute schedules for physicians, physician assistants, nurse practitioners, and other staff.
  • Track availability and time-off requests and fill open shifts before they become coverage gaps.
  • Handle last-minute call-offs by quickly locating and confirming replacement coverage.
  • Communicate schedule changes and confirmations.
  • Maintain scheduling software and master calendars.
  • Coordinate provider travel and lodging for out-of-area assignments as needed.
  • Prepare staffing and fill-rate reports for leadership.
  • Provide general office support, including phones, correspondence, filing, and coordination with HR on new-hire onboarding logistics.

Qualifications

  • High school diploma.
  • At least 2 years of scheduling or staffing-coordination experience.
  • Highly organized, detail-oriented, and comfortable managing multiple sites at once.
  • Strong communication skills and proficiency in Microsoft Office.
  • Ability to work independently and solve problems under time pressure.
